3. Information you give us

Account information

When you register, we collect your name, email address, a hashed password, and the company details you enter (company name, country, currency, and tax registration numbers if you provide them).

Business records you enter

The software holds the financial records you create — invoices, bills, customers, suppliers, employees, payroll, inventory and bank transactions. This is your data. We hold it on your behalf and do not use it for our own purposes.

Support conversations

If you contact us by email or WhatsApp, we keep the conversation so we can help you and refer back to it.

Payment information

If you pay us, payment is handled by a third-party payment provider. We receive confirmation that payment succeeded and the last few digits of the card or the transaction reference. We do not store full card numbers on our systems.

4. Information we collect automatically

• Log data — IP address, browser type, pages visited, and timestamps, kept for security and troubleshooting.
• Device data — operating system and screen size, used to keep the interface usable.
• Usage data — which features are used and how often, in aggregate, so we know what to improve.
• Cookies — a session cookie to keep you logged in, and a small preference cookie. We do not use advertising or cross-site tracking cookies.

5. How we use your information

• To create and secure your account, and to let you log in
• To operate the software and produce the reports, invoices and tax returns you ask for
• To send transactional email — password resets, invitations, payslips, invoices you choose to email
• To provide support when you ask for it
• To detect fraud, abuse and security incidents
• To meet our own legal, tax and accounting obligations
• To send occasional product announcements, which you can opt out of at any time

We do not sell your data. We do not use your financial records to train machine-learning models. We do not share your customer or supplier lists with anyone for marketing.

6. Who we share it with

We share data only with service providers who help us run the product, and only to the extent needed:

• Hosting and infrastructure — servers that run the application and store the database
• Email delivery — for password resets, invitations and invoices you send
• Payment processing — if you pay for a plan
• Error monitoring — anonymised crash and error reports

We may also disclose data if we are legally required to — for example, in response to a valid court order or a lawful request from a tax authority — or to protect the rights and safety of our users. If we are ever required to hand over your data, we will tell you unless we are legally prohibited from doing so.

7. Where your data is stored

Our application and database are hosted on servers located in Bangalore, India. Some of our service providers may process data in other countries. Where data leaves your country, we rely on our providers' contractual safeguards and standard data protection commitments.

8. How long we keep it

• Active accounts — your data is kept for as long as your account is open.
• After you close your account — we delete or anonymise your data within 90 days, except where we are legally required to keep specific records for longer (for example, billing records kept for tax purposes).
• Backups — encrypted backups roll off on a fixed schedule and are fully cleared within the same 90-day window.
• Logs — security logs are kept for a shorter period and then deleted.

You can export your full data at any time before closing your account, from within the app.

9. Security

We take reasonable technical and organisational steps to protect your data, including encryption in transit, hashed passwords, separation between companies, role-based access controls, and an audit trail of changes. You can read more on our Security page.

No system is perfectly secure. If we ever become aware of a breach that affects your data, we will tell you and the relevant authority without undue delay.

10. Your rights

Depending on where you live, you may have the right to:

• Access the personal data we hold about you
• Correct anything inaccurate
• Ask us to delete your data
• Export your data in a portable format
• Object to or restrict certain processing
• Withdraw consent where we relied on it

11. Cookies

We use the minimum needed to run the service: a session cookie so you stay logged in, and a small preference cookie. We do not run advertising cookies and we do not track you across other websites. You can block cookies in your browser, but the app will not work without the session cookie.

12. Marketing

We only send product announcements to people who have an account with us or who have asked to hear from us. Every such email has an unsubscribe link. Transactional emails — password resets, invoices, payslips — are not marketing and cannot be unsubscribed from while your account is active.

13. Children

Zyro Books is a business tool and is not intended for anyone under 18. We do not knowingly collect data from children.

14. Changes to this policy

If we make a material change to this policy, we will notify account holders by email or in-app before it takes effect. The date at the top of this page always shows the current version.
